Cancellation Policy

Deposit & Payment A non-refundable deposit is required to confirm your booking, with the remaining balance due on or before your session date. Bookings can be rearranged with at least 48 hours’ notice (subject to availability). Cancellations or late notice will result in loss of deposit. Studio Bookings Sessions start promptly. If you arrive late, session time cannot be extended without an additional fee. The photographer will ensure the creative style remains consistent with the current portfolio while being open to exploring new looks that best promote you and your brand. Sharing your images on social media is encouraged – please tag @headshottoby. Images must not be altered, filtered, or retouched by the client or third parties; contact the photographer for any additional edits. On-Location Business Branding & Team Headshots The space must be tidy, organised, and ready to photograph upon arrival. The client is responsible for ensuring all staff are informed and have consented to being photographed. Delays caused by unavailability, meetings, or preparation are outside the photographer’s control and cannot extend booked time. Travel beyond 20 miles of Lincoln may incur an additional fee. Copyright & Usage All images remain the copyright of Headshot Toby. Clients are granted a licence for promotional use across websites, social media, and marketing materials. Images may not be sold, sublicensed, or used commercially by third parties without written consent. For press or print publications, please contact hello@headshottoby.co.uk before publishing – additional fees may apply. Conduct & Liability Clients must respect studio equipment and property; damage caused by negligence may be chargeable. The photographer is not liable for injuries or property damage during the session. In the event of illness, severe weather, or equipment failure, sessions will be rescheduled where possible, and deposits transferred.
